Job Description:        Caretaker

Reports to:                 Property Manager 

Hours:                         9.00 – 13.00 Mon - Fri

Holiday:                      20 working days plus bank holidays

Probation period:        six months with one months notice

Key Objective

Remus Management Ltd aims to provide an efficient, caring and professional service. Our main interests are that the residents are happy and well looked after, and that the buildings are maintained to their current high standard. The Caretaker is our representative and will help us to achieve these aims. It is important that the Caretaker maintains regular contact with Remus Management Ltd and, in particular, keeps in close touch with the Property Manager responsible for The Beeches and The Firs. The Caretaker is responsible for the day-to-day management, the well-being and security of the residents and the general care and running of the common areas of the two apartment buildings.

General Duties and Responsibilities:

  • To co-ordinate, supervise and co-operate with all contractors to ensure a high standard of maintenance. Keep a log of all visits including cleaners, window cleaner, gardener, property manager or surveyors and note the times.
  • The Caretaker should liaise with the gardeners and cleaners and ensure that they are each working to their specifications and to request any specific task as necessary.  
  • Taking care of all communal areas, including the communal passageways, communal lounge in The Beeches, bin stores, store rooms, guest rooms, laundry room etc.
  • To sweep and ensure all litter has been removed from all forecourts and patio areas.
  • To undertake all items of the cleaning specification as affixed.
  • To be responsible for the security of the building and contents thereof.
  • To ensure that all plugs, and switches are safe and turned off when not in use, and that any appliances not in use are also unplugged.
  • To check the laundry machines are working correctly and clean as required. Check soap trays are not blocked, disinfect once a week and check all filters.
  • To instruct the residents in the correct use of laundry equipment where appropriate.
  • Regularly (fortnightly) take meter readings for the communal utilities supply and submit to Remus Management Ltd. 
  • To test the fire alarm system regularly (at least quarterly) and to be responsible for attending to all fire alarm calls.
  • To change light bulbs where necessary and advise Remus Management when an electrician is required. 
  • Keep all external areas tidy and free from debris, the paths are to be swept, all litter removed including cigarette ends, and the cigarette tin by the front door emptied regularly, grit must be spread across all paths during icy weather and the bins must be brought out and returned to the bin store in accordance with the collection dates as set by the local council.
  • To undertake any minor repairs that might be required throughout the two apartment buildings and advise Remus Management Ltd when any repairs that will need to be undertaken by an independent contractor are required.
  • The Caretaker shall maintain a record of all bookings for the guest room and notify Remus Management Ltd so that payment may be taken from the resident involved. The Caretaker will also be responsible for ensuring that the relevant resident is provided with keys in advance of their booking and for cleaning and preparing the linens between bookings. 
  • To maintain a petty cash float, keep records and receipts, and account to Remus Management Ltd on a regular basis in order that the levels may be maintained.
  • To be respectful, impartial and maintain the confidentiality of residents' personal details and information.
  • To keep residents informed of the latest information, regulations, legislation provided by the managing agent or other authorities and ensure relevant information is on the notice boards.
  • Ensure that the building is secure and that the communal doors and windows have not been left open.
  • Respond to emergencies as required such as fire, police or ambulance and get the appropriate help.
  • Keep a general diary of all significant events that occur in the apartment blocks such as accidents, injuries, disputes and maintenance issues.
  • Provide a message pad and/or board so that residents can leave messages for the Caretaker if not in attendance.
  • The Caretaker will have a set of keys for all doors and cupboards and will be retained at all times.
